Terms of Service

Effective date: August 11, 2026

Summary: Tahana has a free plan and a paid Household plan billed yearly at the price shown at checkout. There is no free trial: when you subscribe you are charged straight away, and the subscription auto-renews each year unless you cancel first. The free plan needs no card and is never charged, so you can try Tahana before paying anything. If you change your mind after your first payment, you have 48 hours to request a full refund; after that, payments are non-refundable. Nothing in these Terms takes away refund or other rights you have under the consumer laws of your country. Please read the full terms below.

1. Acceptance of Terms

By accessing or using Tahana ("the Service", "Tahana", "we", "us", or "our") at tahana.app, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not access or use the Service.

These Terms constitute a legally binding agreement between you ("User", "you", or "your") and Tahana. We may update these Terms at any time by posting a revised version at tahana.app/terms. Your continued use of the Service after such changes constitutes your acceptance of the revised Terms.

2. Description of Service

Tahana is a product of HeroLabs, a trade name of 17981341 Canada Inc., the company that owns and operates the Service. Tahana is a household management platform ("Service") that provides tools for budgeting, calendar management, meal planning, health tracking, shopping list collaboration, event planning, document storage, and related household management functions. The Service is accessed through a web browser, installable as a Progressive Web Application (PWA), and available as a native mobile application.

We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time, with reasonable notice where practicable.

AI Features

Some features of the Service use third-party artificial-intelligence providers to process content you send to them: the household assistant, receipt scanning, and food-photo logging. These features are optional and run only when you choose to use them. The providers involved, the data they receive, and the limits on how that data may be used are described in our Privacy Policy. AI-assisted features are subject to the monthly usage limits published on our pricing page.

Free Plan

The free plan is provided at no charge and on an "as available" basis. We may change, reduce, limit, suspend, or discontinue the free plan — including its storage allowances, usage caps, feature set, and retention periods — at any time and without prior notice. Free-plan limits are published on our pricing page and may be revised at our discretion as the cost of operating the Service changes. If a change to the free plan would affect content you have already stored, we will make reasonable efforts to notify you in-app and to give you an opportunity to export it, but we are not obligated to do so.

This section applies to the free plan only. Changes affecting paid subscriptions are governed by Section 5 (pricing) and Section 16 (notice).

3. Eligibility

You must be at least 13 years of age to use Tahana — or, if you live in a country that sets a higher minimum age for consenting to online services (up to 16 in some European countries), at least that age. By using the Service, you represent and warrant that you meet this requirement. If you are a minor in your jurisdiction, you represent that you have your parent or legal guardian's consent to use the Service.

Parents or guardians who create an account on behalf of a minor under 13 are responsible for all activity on that account and for ensuring the minor does not independently access the Service.

4. Accounts and Household Members

You are responsible for:

  • Maintaining the confidentiality of your account credentials;
  • All activity that occurs under your account;
  • Any household members you invite to your household group;
  • Ensuring that all household members comply with these Terms.

Each Tahana subscription may include up to four (4) household member accounts. The subscriber (account owner) is the billing contact and is ultimately responsible for all household accounts under their subscription.

You must notify us immediately at hello@tahana.app of any unauthorized access to your account.

5. Subscription and Payment

5.1 Plans

Tahana offers a free plan with limited features and a paid Household plan billed on a recurring yearly basis ("Subscription Fee"). The current Subscription Fee, and any promotional pricing, is the price displayed at tahana.app/pricing and at checkout at the time you subscribe. The Household plan provides access to all current Service features for up to four (4) household members. Some promotions (such as the early-bird pre-registration offer) grant a percentage discount that continues for as long as your subscription remains continuously active. A percentage discount locks in the percentage, not a dollar amount: it is always applied to the then-current regular Subscription Fee, so if the regular price changes, your discounted price changes proportionally.

5.2 No Free Trial; the Free Plan

The Household plan does not include a free trial. When you subscribe, your payment method is charged the Subscription Fee immediately and your access begins at once. If you want to evaluate the Service before paying, use the separate Free plan, which requires no payment method, is never charged, and may be used for as long as you like. Your first payment is covered by the 48-hour refund window in Section 5.4.

5.3 Auto-Renewal

Paid subscriptions automatically renew each year at the then-current Subscription Fee, less any ongoing percentage discount attached to your account (Section 5.1), unless cancelled before the renewal date. By subscribing, you authorize us to charge your payment method on a recurring basis until you cancel. We will send a reminder email before each renewal.

5.4 48-Hour Refund Window

The Free plan lets you evaluate the Service before you pay anything. If you decide Tahana isn't for you after your first payment, you may request a full refund by emailing hello@tahana.app within forty-eight (48) hours of your first payment date.

Outside this window, payments, including your first payment and any renewal, are non-refundable, except where required by applicable law. The 48-hour window begins on the date of your first payment (i.e. when a new subscription is charged), not the date you created your account or the date of any subsequent renewal.

Your statutory rights are not affected. If the consumer protection laws of your country or province (for example, the European Union's 14-day right of withdrawal, the UK Consumer Rights Act, the Australian Consumer Law, or Quebec's Consumer Protection Act) give you refund, cancellation, or remedy rights that go beyond this guarantee, those laws prevail and nothing in these Terms limits them.

5.5 Cancellation

You may cancel your subscription at any time from your account settings page. Upon cancellation, you retain access to paid features until the end of your current billing period, after which your account moves to the free plan. Cancellation does not entitle you to a refund unless you are within the 48-hour refund window described in Section 5.4 or have a statutory right to one.

5.6 Price Changes

We reserve the right to change the Subscription Fee. We will provide at least thirty (30) days' advance notice to active subscribers before any price increase takes effect, and the new price will apply only from your next renewal. If you do not agree to the new price, you may cancel before the renewal date. Ongoing percentage discounts (Section 5.1) survive a price change — your percentage stays the same — but they do not freeze the underlying price: your discounted amount is recalculated from the new regular Subscription Fee.

5.7 Payment Processing

Payments are processed by Stripe, Inc. By subscribing, you agree to Stripe's terms of service. We do not store your credit card information. All payment data is handled by Stripe.

5.8 Currency, Taxes, and International Purchases

Prices are listed in U.S. dollars (USD) unless stated otherwise at checkout. Depending on your country, sales tax, VAT, GST, or similar taxes may be added at checkout or may be included in the displayed price, as required by local law. If you pay with a card issued in another currency, your bank or card issuer may apply its own exchange rate and foreign transaction fees — these are outside our control and are not refundable by us.

6. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable law or regulation;
  • Infringe the intellectual property or privacy rights of others;
  • Upload, transmit, or store malicious code, viruses, or harmful content;
  • Attempt to gain unauthorized access to the Service or its infrastructure;
  • Reverse-engineer, decompile, or attempt to extract the source code of the Service;
  • Use the Service for commercial resale or to build a competing product;
  • Harass, abuse, or harm other users;
  • Violate anyone's privacy, including collecting personal data about others without their consent.

We reserve the right to terminate accounts that violate these restrictions without notice and without refund.

7. User Content

You retain ownership of all content you upload to the Service ("User Content"), including transactions, documents, photos, health data, notes, and recipes. By uploading User Content, you grant Tahana a limited, non-exclusive, royalty-free license to store, process, and display that content solely for the purpose of providing the Service to you and your household.

We do not claim ownership of your User Content. We do not sell, license, or transfer your User Content to third parties except as described in our Privacy Policy.

You are solely responsible for the accuracy, legality, and appropriateness of your User Content. We reserve the right to remove content that violates these Terms.

Message Attachment Retention

Files and photos shared in chat messages are automatically deleted after 90 days on the free plan and 12 months on a paid subscription. This keeps storage costs sustainable and reflects how chat attachments are actually used. If you want to keep a photo shared in a conversation, save it to an event gallery or download it — event gallery photos are not subject to automatic deletion and are kept for as long as your account is active. We may adjust these retention periods; for the free plan we may do so without notice, as described in Section 2.

Developer and Admin Access

Tahana has no admin panel, dashboard, or internal tool that allows anyone on our team to browse, search, or view your personal data. Row Level Security is enforced at the database level, meaning our own application code can only access your data in the context of your authenticated session. The only server-side processes that touch user data are fully automated (bill reminders, subscription management, account provisioning) with no human in the loop. We do not read, analyze, review, or monitor individual users' personal data for any reason. If we ever need to investigate a technical issue involving your account, we will contact you first and request your explicit permission.

8. Data Retention After Cancellation

If you cancel a paid subscription, your account moves to the free plan at the end of your billing period and your data is retained. Content that exceeds free-plan limits remains stored and becomes accessible again if you resubscribe.

If you delete your account, your account and all associated User Content remain accessible for thirty (30) calendar days to allow you to export your data. After this retention period, all User Content and account data will be permanently and irreversibly deleted. We cannot recover deleted data, so we strongly recommend exporting it first.

9. Intellectual Property

The Service, including its design, code, trademarks, logo, and all content created by Tahana, is owned by or licensed to 17981341 Canada Inc. (carrying on business as HeroLabs) and protected by intellectual property laws. You may not copy, reproduce, modify, distribute, or create derivative works of any part of the Service without our express written permission.

10. Privacy

Your use of the Service is subject to our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to our collection and use of personal information as described in the Privacy Policy.

11. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

We do not warrant that the Service will be uninterrupted, error-free, or free of viruses or other harmful components. We do not warrant the accuracy, completeness, or usefulness of any information provided through the Service.

Tahana is a personal organization and budgeting tool. It is not a substitute for professional financial, medical, legal, or dietary advice. Do not make important decisions based solely on information generated by the Service.

Features that rely on artificial intelligence generate results that may be incomplete or incorrect. We make no warranty as to the accuracy, completeness, or suitability of AI-generated output — including amounts, dates, and nutritional or medication information — and you use and rely on it entirely at your own risk. Treat it as a starting point to review, not a record to rely on. You are solely responsible for verifying anything you act on, and any liability arising from reliance on AI-generated output is excluded or limited to the fullest extent set out in Section 12.

12. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, TAHANA SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES — INCLUDING BUT NOT LIMITED TO LOSS OF DATA, LOSS OF PROFITS, LOSS OF REVENUE, OR LOSS OF GOODWILL — ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE.

OUR TOTAL AGGREGATE LIABILITY TO YOU FOR ALL CLAIMS ARISING UNDER OR RELATING TO THESE TERMS OR THE SERVICE — REGARDLESS OF THE FORM OF ACTION, WHETHER IN CONTRACT, TORT (INCLUDING NEGLIGENCE), STRICT LIABILITY, OR OTHERWISE — SHALL NOT EXCEED THE TOTAL AMOUNT YOU PAID TO TAHANA IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM. IF YOU HAVE PAID NOTHING, OUR TOTAL LIABILITY IS LIMITED TO CAD $50.

We are not liable for the acts, omissions, availability, accuracy, or output of third-party services the Service depends on or integrates with, including payment processors, hosting and database providers, email and SMS providers, calendar providers, and artificial-intelligence providers.

These exclusions and limits apply even if a stated remedy fails of its essential purpose, and they survive termination of these Terms.

Some jurisdictions do not allow the exclusion or limitation of certain damages or of implied warranties. Where that is the case, the exclusions and limits above apply only to the maximum extent permitted by law, and nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited — including liability for fraud, or for death or personal injury caused by negligence. Your statutory consumer rights are not affected (see Section 5).

13. Indemnification

You agree to indemnify and hold harmless Tahana and its officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from your use of the Service, your User Content, your violation of these Terms, or your violation of any third-party rights.

14. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to conflict of law principles.

Any dispute arising under these Terms shall first be attempted to be resolved through good-faith negotiation. If negotiation fails, disputes shall be submitted to binding arbitration in Ontario, Canada, to the extent permitted by applicable law. Nothing in this section prevents either party from seeking injunctive or other equitable relief where appropriate.

If you are a consumer, this section does not deprive you of any protection you have under the mandatory consumer laws of the country or province where you live, nor of the right to bring proceedings in your local courts where that right cannot be waived (including, for example, in the European Union, the United Kingdom, Australia, and Quebec). In those jurisdictions, the arbitration requirement above applies only where local law permits it.

15. Termination

We may suspend or terminate your account and access to the Service at any time, with or without cause, with or without notice. Grounds for termination include, but are not limited to, violations of these Terms, non-payment, or conduct that harms other users or the Service.

Upon termination, your right to access the Service ends immediately. Sections relating to User Content, intellectual property, disclaimers, limitation of liability, and governing law survive termination.

16. Changes to These Terms

We may update these Terms at any time. When we make material changes that affect paid subscribers, we will notify you by email and by posting a notice in the Service at least fourteen (14) days before the changes take effect. Your continued use of the Service after changes take effect constitutes your acceptance of the revised Terms.

Changes that affect only the free plan — including its limits, allowances, features, and retention periods — may take effect immediately and without prior notice, as described in Section 2. The current version of these Terms is always available at this page, and the effective date shown above reflects the most recent revision.

17. General

Severability. If any provision of these Terms is held invalid, unlawful, or unenforceable by a court or other competent authority, that provision shall be modified to the minimum extent necessary to make it enforceable, or if it cannot be so modified, severed. The remaining provisions shall continue in full force and effect. In particular, if any part of Section 11 or Section 12 is held unenforceable, the remainder of those sections continues to apply to the fullest extent permitted by law.

No waiver. Our failure to enforce any right or provision of these Terms is not a waiver of that right or provision, and no waiver is effective unless made in writing.

Survival. Sections 7 (User Content), 9 (Intellectual Property), 11 (Disclaimer of Warranties), 12 (Limitation of Liability), 13 (Indemnification), 14 (Governing Law and Dispute Resolution), and this Section 17 survive any termination or expiry of these Terms.

Entire agreement. These Terms, together with our Privacy Policy, constitute the entire agreement between you and us regarding the Service, and supersede any prior understandings or representations.

Assignment. You may not assign or transfer these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition, reorganisation, or sale of assets.
